SOP

1. Objective:
To lay down a procedure for building maintenance programme.

2. Scope:
This procedure is applicable for maintenance activity of building like civil work, painting, floor repairing, repairing/installation of light fixtures etc.

3. Responsibility:
All concern Department, QA and Engineering department.

4. Procedure:
4.1 Building area shall be classified in two parts:
– Core areas
– Non- Critical areas

4.2 Classified areas, change rooms, microbiology, QC area shall be considered as core areas

4.3 QA office, administrative office, utility area, external premise, roof shall be considered as non-critical area.

4.4 Core areas shall be inspected every month for painting, flooring, doors, window, light fixtures, walls and observations shall be recorded in checklist.

4.5 Non- critical areas shall be inspected in six months for painting, flooring, doors, window, light fixtures, walls and observations shall be recorded in checklist.

4.6 Maintenance of core areas:
4.6.1 Before start of the activity, area clearance note shall be raised.
4.6.2 Intimate concern department and QA department before start of the activity.
4.6.3 Before start of the work, confirm that all equipment, utensils, supply duct, return duct, finished/intermediate product, materials are removed or wrapped.
4.6.4 Follow gowning procedure for maintenance activity.
4.6.5 Use appropriate protective garment/equipment wherever necessary.
4.6.6 Care shall be taken during painting activity to avoid spillage.
4.6.7 While carrying out painting work, civil work etc on walls and ceiling, precautions shall be taken to cover the floor with plastic or tarpaulin sheet.
4.6.8 While rubbing the walls or floors or any other surface, precaution shall be taken in such a way that dust must not disperse outside the area where production or other activity is being performed.
4.6.9 After completion of work remove all tools and materials from the area where work has been done.
4.6.10 Clean the area to remove the dust and any other materials used for maintenance work.
4.6.11 Intimate the user and QA department about completion of work.
4.6.12 Close the work clearance note and file the document.
4.6.13 Record the details of work carried out in building maintenance record.

4.7 Maintenance of non-critical area:
4.7.1 Before start of the activity, area clearance note shall be raised.
4.7.2 Ensure all equipment/furniture are removed from the area or properly wrapped.
4.7.3 Use appropriate protective garment/equipment wherever necessary.
4.7.4 Care shall be taken during painting activity to avoid the spillage.
4.7.5 While carrying out painting work, civil work etc on walls and ceiling, precautions shall be taken to cover the floor with plastic or tarpaulin sheet.
4.7.6 After completion of work remove all tools and materials from the area where work has been done.
4.7.7 Clean the area to remove the dust and any other materials used for maintenance work.
4.7.8 Intimate user and QA department about completion of work.
4.7.9 Close the work clearance note and file the document.
4.7.10 Record the details of work carried out in building maintenance record.

4.8 Painting work:
4.8.1 Before start of painting, check if there is any crack/hole on wall.
4.8.2 Prepare fresh putty paste and apply same in crack/hole.
4.8.3 Allow putty to dry.
4.8.4 After drying, rub the surface to make the surface smooth and plain.
4.8.5 Apply primer and the paint as per requirement.

4.9 Flooring work:
4.9.1 Check damages/cracks on the floor and coving.
4.9.2 In case of epoxy flooring, open the crack and remove the epoxy layer from floor/coving.
4.9.3 Prepare the surface where the epoxy layer is to be applied.
4.9.4 Prepare fresh epoxy mortar and lay the same on the floor/coving.
4.9.5 Allow to soak for 24 hours.
4.9.6 In case of tile or stone flooring, remove the tiles or stones and replace the same with new tiles/stones.

4.10 Door and window repairing:
4.10.1 Check the door accessories for any loosening and for any other breakage. Rectify if found faulty.
4.10.2 Check the door closures and adjust the speed if required.
4.10.3 Check handles and identify any loose fitting.
4.10.4 Check sealing of glass for intactness. Fill with sealant if gaps are observed.
4.10.5 Check the glass of doors/windows for intactness. Replace if any cracks found.

4.11 Light fixture repairing work:
4.11.1 Isolate the power supply to the light fixtures before start of the activity.
4.11.2 Open the cover of fixtures and carry out maintenance.
4.11.3 Clean the fixture and cover.
4.11.4 Close the cover after the activity.

4.12 Utility piping and structure painting:
4.12.1 Before start of the activity, ensure lines are not being used.
4.12.2 Scrap the old paint and clean the pipes with dry cloth.
4.12.3 Apply primer on the surface and apply 2 coats of paint as per colour code.

4.13 Frequency:
– External painting: Minimum once in 2 years.
– Internal painting: Minimum once in a year and whenever required.
– Epoxy coating/repair whenever required.
– Utility painting/structure painting as per requirement.
– Civil work/light fixture repair/door and window repairing whenever required.
